EBLS School Policy (Private Lessons)

Rules for Enrolment & Refund Policy

Updated: January 1, 2025

These regulations are subject to change with one month’s notice.

Should any of the below rules change, the student is treated as agreeing with the revised version as well.

1. Payment Period for Lesson Fees

  1. Lesson fees are paid in advance. Please pay within 7 days of signing up.

  2. If lessons begin less than 7 days after the sign-up date, please pay 2 business days before the start date.

  3. When adding lessons, please pay at least one week before the date of the first added lesson.

  4. Please pay the fees for private lessons in batches of four lessons.

  5. A $15 late fee will be applied to invoices that are more than one week past due.

 

2. Registration Fee

  1. The registration fee consists of both enrollment and administrative costs.

  2. This fee is charged along with the first lesson fees. The fee is non-refundable.

  3. We require the registration fee only on enrollment, not when taking or adding extra classes.

  4. However, if 181 days or more have elapsed since the previous lesson, we reserve the right to charge the registration fee again.

 

3. Rules regarding Attendance

  1. Lesson days and times are basically fixed.

  2. If the time slot is changed due to the student's convenience, a fee ($15) will be charged from the second change.

  3. If you wish to change the date and time of your lesson, please contact the school at least 24 hours before the lesson begins.

  4. Dates and times cannot be changed (substituted) less than 24 hours before the lesson starts.

  5. Absences made less than 24 hours prior to the start of the lesson will result in the use of one lesson.

  6. Lesson date and time changes (make-up) are free of charge once every four lessons.

  7. If you change the date and time (make-up) of two or more lessons out of four, a change fee ($15) will be charged for each lesson.


4. Copyright and Handling of Lesson Materials

  1. Unauthorized copying, replication, and/or transfer to any third party of the whole or any parts of the contents of this material file are strictly prohibited.

  2. Recording or filming lessons, or transcribing lesson content (including the use of dictation or script-conversion tools), without prior permission is strictly prohibited.

  3. It is forbidden to share, sell, or redistribute any part or the entirety of the lesson content to third parties, regardless of whether it is for commercial or non-commercial purposes.

  4. All lesson materials, documents, and spoken content used during lessons are intended for personal use only and must not be used beyond that scope.

  5. The use of AI-powered tools to transform, summarize, or analyze lesson content—and subsequently provide such content to third parties or make it publicly available—is prohibited.

  6. Any violation of the above may result in the termination of your enrollment and/or legal action.

5. Cancelling a Private Lesson Contract and Refunds

The amount we refund depends on the date of cancellation.

  • Before the lesson period begins

  1. 15 days or more prior to the start of lessons: 10% of the tuition fee.

  2. 14 days or less prior to the start of lessons: 20% of the tuition fee.

  • After the lesson period begins

  1. 25% of the contracted lesson time or less have elapsed: 50% of the tuition fee.

  2. More than 25%: We will not provide refunds.

  • After changing the date lessons begin

  1. The additional fee is calculated based on the original date lessons had or would have begun.

  • Canceling a contract after taking a leave from classes

    1. If 180 days or less have elapsed: The refund is calculated based on the initial lesson start date, not the restart date.

    2. If 181 days or more have elapsed: We will not provide refunds.

 

6. Changing the start date of private lessons

  1. The first time a student either changes their program start date or their restart date, they will not be charged an additional fee.

  2. To apply for a start date change, please fill in the “Start Date Change Form” two weeks or more before the pre-change date.

  3. 2nd and subsequent date changes incur a fee of $15.

  4. For contracts cancelled after a start date change, the program refund is calculated based on the initial lesson start date, not the changed date.

 

7. Taking a break from lessons

  1. Those who wish to take a break from lessons must notify the school at least two weeks before the break begins.

  2. As stated above (2.4.), if 181 days or more have elapsed since the previous lesson, we reserve the right to charge the registration fee again.

  3. For contracts cancelled 180 days or less after taking a break from classes, the program refund is calculated based on the initial lesson start date, not the restart date. We will not provide refunds after 180 days.

  4. In the event of a temporary leave of absence, we cannot guarantee the same lesson time slot that was previously assigned. Upon resuming lessons, available time slots will be offered based on the current schedule at that time. We appreciate your understanding in this matter.

8. Withdrawing

  1. Please inform us in writing two weeks before ending or withdrawing from private lessons.

9. Renewal Fees

  1. Students can renew lessons in batches of four lessons.

  2. If students have not completed payment for renewal, this will be regarded that they will not continue lessons, and their future lessons will automatically be cancelled. 

  3. We do not charge additional fees for renewing lessons. However, if the payment for renewal is made past the payment due date, there will be a reinstatement fee of $15.

 

10. Cancellation, Absences, Being Late for Lessons

  1. Students cannot cancel lessons or change the lesson time less than 24 hours before the lesson would have begun.

  2. If students are absent from a lesson without any notice, this will be considered “same-day cancellation” and the lesson fee is non-refundable.

  3. Students can attend lessons late if they attend within the first 20 minutes of the start of the lesson. After this point, students cannot attend lessons and this will be considered “same-day cancellation” and the lesson fee is non-refundable. Even if the student attends the lesson within the first 20 minutes of the start of the lesson, the lesson will end at a scheduled time.

  4. For every four lessons, students have one free lesson date change. Additional date changes incur a fee of $15.

11. Disclaimer and Privacy Policy

  1. The personal information of students is used for running school services and administration, not for any other purpose.

12. Policy on Misconduct and Harassment Prevention

  1. Respect for Instructors and Staff

    1. Students are expected to treat instructors and staff with respect. Insulting language, harassment, and inappropriate behavior are strictly prohibited. (This is in accordance with the Canadian Human Rights Act and the Ontario Human Rights Code, which prohibit discrimination and harassment.)

  2. Distinction Between Lesson-Related Administrative Communication and Personal Communication

    1. Outside of lesson time, students should refrain from personal or non-work-related communication with instructors (including emails, text messages, phone calls, etc.).

    2. Instructors will respond during working hours only to communication that is necessary for business purposes. Communications that are unrelated to school operations or deemed unreasonable by the instructor will not be addressed.

  3. Misconduct and Consequences of Policy Violations

    1. If a student engages in disruptive behavior, interferes with class, obstructs school operations or management, conducts business interference, or misappropriates course materials or intellectual property, the school may terminate the student’s enrollment.

    2. In cases of policy violations, the school may take appropriate measures, which may include reviewing the continuation of enrollment and, in severe cases, pursuing legal action.

    3. Even when enrollment is terminated for the above reasons, the cancellation fee will still apply.
